Trust Administrator

Location: Ridgeland, Mississippi

Overview
The Trust Administrator is responsible for the day-to-day administration of assigned trust accounts in accordance with governing documents, fiduciary standards, and applicable laws and regulations. This role requires regular interaction with trust clients and beneficiaries, coordination with third-party investment advisors, and execution of operational and administrative tasks to ensure accurate, timely, and compliant trust administration. A strong attention to detail, organizational skills, and an understanding of trust investments and fiduciary responsibilities are essential.

Key Responsibilities:

Trust Administration & Account Management

  • Administer trust accounts in accordance with trust agreements, applicable laws, and internal policies
  • Review and interpret trust documents to ensure proper administration and adherence to fiduciary requirements
  • Ensure trust accounts are properly funded, titled, and maintained
  • Monitor trust activity to ensure transactions are accurate, timely, and appropriately authorized
  • Coordinate distributions to beneficiaries in accordance with trust terms
  • Maintain accurate trust records, files, and documentation

Client & Beneficiary Relationship Management

  • Serve as a primary point of contact for trust clients, beneficiaries, and their advisors
  • Conduct meetings with trust clients and beneficiaries to review account activity, distributions, and administrative matters
  • Respond to inquiries in a timely, professional, and knowledgeable manner
  • Explain trust provisions, administrative processes, and account activity in clear, understandable terms
  • Build and maintain strong, professional relationships while exercising sound fiduciary judgment

Investment & Advisor Coordination

  • Work closely with third-party investment advisors to support trust investment objectives
  • Review investment account statements and activity for consistency with trust requirements and liquidity needs
  • Ensure proper coordination between trust administration and investment management functions
  • Monitor cash flows, income, and distributions to ensure adequate liquidity is maintained
  • Facilitate investment-related documentation, transfers, and account maintenance

Operational & Transactional Duties

  • Enter and manage work items, transactions, and service requests within trust accounting and workflow systems
  • Ensure timely payment of trust-related expenses, including taxes, fees, insurance premiums, and professional services
  • Review invoices and expense requests for accuracy and trust authorization
  • Coordinate account openings, closings, transfers, and asset movements
  • Assist with trust account reconciliations and resolution of discrepancies

Compliance, Risk Management & Reporting

  1. Ensure trust administration complies with fiduciary standards, internal controls, and regulatory requirements
  2. Assist with audits, examinations, and internal reviews as required
  3. Identify and escalate potential risk, compliance, or documentation issues
  4. Support the preparation and review of trust account statements, reports, and disclosures
  5. Coordinate tax-related reporting and information with internal teams and external tax professionals

General Trust Administrative Duties

  • Track key trust milestones, deadlines, and required actions (e.g., distributions, reviews, tax filings)
  • Maintain organized and up-to-date electronic and physical trust files
  • Assist with account reviews, annual trust reviews, and administrative checklists
  • Coordinate with attorneys, accountants, custodians, and other external professionals
  • Support trust terminations, amendments, and account transitions
  • Stay current on trust administration best practices, fiduciary standards, and regulatory developments

Qualifications:

  • Bachelor’s degree in Business, Finance, or Accounting strongly preferred.
  • Minimum of three (3) years of experience working with trust accounts or in trust administration
  • Solid understanding of trust structures, fiduciary duties, and trust operations
  • Background in investments strongly preferred
  • Experience working with third-party investment advisors a plus
